Searching the Wheaton Directory for email addresses

Setting up your email client to perform directory searches for Wheaton community members is easy. Select the link that describes your setup.




Instructions For Windows Users (Eudora Ver. 6)

1. From within Eudora go to Tools --> Directory Services

2. If you are not taken directly to the Directory Services tab then select the Directory Services tab along the bottom.

3. Under the section labeled Protocols (in the top right hand corner) highlight the option labeled LDAP then select the button labeled New Database.

4. On the Network tab enter in the name Wheaton Directory in the field labeled Type the name by which you would like to refer to this server. Next to the Host Name: box enter in the server name of directory.wheatonma.edu (Leave the Port field set at 389).

5. Next, select the Attributes tab then select the Add button. For the Attribute Name enter in the word displayname and use the pull down menu labeled Presented As and select Name then select OK. Select the Add button again and this time enter in the word mail for the Attribute Name and select Email(w) then select the OK button. Select the Add button again and this time enter in the word telephonenumber for the Attribute Name and select Phone(w) then select the OK button. Very Important: On the Attributes tab check off the check box labeled Return listed attributes only.

6. Select the tab labeled Search Options. Drag the meter from Long to the left until it states 1 minute. Under the heading Maximum number of matches to return: de-select the check box labeled No Limit then change the default value from 1,000 down to 100. In the Search Base: field enter in the following base ou=People,dc=wheatonma,dc=edu and inside the Word-wise Search Filter remove the two letters cn and replace them with displayname then select OK.

7. Now you should be back at the Directory Services page. Make sure you check off the Wheaton Directory option located on the right hand side under the title Databases.

8. If you wish to send an email to a Wheaton College community member press the Ctrl key along with the Y key simultaneously. This should bring up the Directory Services search page. In the Query window enter in any part of the recipient's last or first name (the more characters you enter in their name, the shorter your search results will be). Select the Start button then highlight the recipient's name from within the Status window then select the To: button. The recipient's email address will be added to your email message (you can select multiple recipients by holding down the Ctrl key as you click on their names).



Instructions For MacOSX Users (Eudora Ver. 6)

1. From within Eudora 6 select the Special menu option then Settings.

2. Navigate down the menu on the left side of the screen and select Hosts.

3. In the field labeled Ph/LDAP Server (under the Directory Services section), type in the following exactly as it is listed here.

ldap://directory.wheatonma.edu:389/ou=People,dc=wheatonma,dc=edu?displayname,mail

4. Click OK.

5. To search for the email address of a Wheaton College community member, select the Directory Services option from the Window menu or press Open Apple+Y.

6. Enter the first few letters from the individuals last name or first name in the Enter Query dialogue box, then click on the Lookup button.

7. The search results (including the individual's email address) will appear in the box below.




Instructions For Outlook Users

1. From Outlook (version 2002) select the Tools menu option then select E-mail Accounts.

2. Under the Directory section select the option labeled Add a new directory or address book.

3. Click the option labeled Internet Directory Service (LDAP) then select the Next button.

4. Under the Server Information section, enter in directory.wheatonma.edu for the Server Name:. Leave the Logon Information section blank. Select the More Settings... button. You will be prompted with a message, just select OK.

5. Make sure the Port field is set to 389 and make sure the option labeled Use Secure Sockets Layer is unchecked.

6. Select the Search tab.

7. For the option labeled Specify the maximum number of entries you wish to return after a successful search: set it to 100. Under the Search base: field enter in the following

ou=people,dc=wheatonma,dc=edu

then select the OK button.

8. Select Next then Finish to close out the wizard.

9. Restart Outlook.

10. Go to the Tools main menu option then select Address Book. Go to the tools option then options and for the field labeled Show this address dress list first: select directory.wheatonma.edu then click OK.

11. Close the address book.

12. When you compose a new email message start typing in any part of the recipients last name then hit the key combination of Alt + k. This will tell Outlook to query the LDAP directory for the name you entered and should bring back a list of users. Double click on the correct recipient and their email address will be added to the message as a recipient.




Instructions For Outlook Express Users

1. From Outlook Express (that comes bundled with Internet Explorer version 6) select the Tools menu option then select Accounts.

2. Select the Directory tab then select the option labeled Add -- Directory Service....

3. In the field labeled Internet directory (LDAP) server: enter in the server name of directory.wheatonma.edu and make sure that the option labeled My LDAP server requires me to log on is unchecked. Select the Next button.

4. On the next screen select Yes when asked Do you want to check addresses using this directory service? then select Next then Finish.

5. You should now be back at the Directory Services tab within the Internet Accounts window. Highlight the new entry you just created named directory.wheatonma.edu and select the button labeled Properties.

6. Go to the Advanced tab and set the Maximum number of matches to return to 100 and for the Search base enter in the following

ou=people,dc=wheatonma,dc=edu


7. Select the OK button, then the Close button.

8. Create a new email message then enter in part of the recipient's lastname then select the key combination of Alt + k. This will instruct Outlook Express to first search your local Address Book. If a recipient is not found it will query the directory server for the recipient's email address.



Instructions For Mozilla Thunderbird Users

1. Go to the Tools main menu option then select Options....

2. On the left select the Composition icon then on the right, place a check mark next to the Directory Server: entry then select the button labeled Edit Directories.

3. Select the Add button then enter in the following parameters on the General tab.

Name: Wheaton Directory
Hostname: directory.wheatonma.edu
Base DN: ou=people,dc=wheatonma,dc=edu
Port Number: 389

Leave the Bind DN: field blank and make sure that the Use secure connection (SSL) option is unchecked.

4. Select the Advanced tab. Next to Don't return more than make sure it is set to 100 results. For the Scope: select One Level. Select the OK button a few times to exit out of the Options... window.

5. Next select the Write option from the main menu to compose a new message.

6. Select View then select the Contacts Sidebar.

7. A narrow window should appear to the left of the composition window. Under the Addressbook: pull down menu select Wheaton Directory.

8. Enter in any part of a recipient's last name into the Search For: field and as you type, the Name section below will show potential recipients. Just double click on the recipient's name and they will be added to the To: portion of your email.



Searching the Directory in Webmail

1. Within Webmail, select the link labeled Central Directory in the bottom left hand corner.

2. Use the pull down menu labeled - - - and select Real Name.

3. After the Contains pull down menu enter in any part of the person's last name you are searching for within the blank entry box.

4. Press the Search button located in the top right hand corner, the email address of the recipient you are looking for should appear.

5. Click on the recipient's email address to compose a message.
