Copying Emails Locally

Here is how you set up Outlook Express for a protocol called IMAP so you can then view all of your Wheaton emails on the server then copy them down into Outlook Express locally so when your Wheaton account gets removed you will have all of your messages on your local hard drive. (Macintosh users: there are brief instructions at the bottom of this page for doing this on a MacOSX system).

1. Bring up Outlook Express on your PC by going to Start --> All Programs --> Outlook Express (you might see something called just Outlook, make sure you look for Outlook Express instead.)

2. Once Outlook Express is up go to Tools --> Accounts.

3. Select the tab that says Mail on the new window that appears, then from the right select Add --> Mail. This will put you inside the wizard for setting up a new email account.

4. For the Display Name: enter in your first and last name. For the Email Address: enter in your Wheaton College email address.

5. From the Pull Down menu on the next page change it from POP3 to say IMAP, then enter in the following.

Incoming mail server: mail2.wheatonma.edu
Outgoing mail server: outbound.wheatonma.edu

6. In the Account Name: field enter in your Wheaton w ID and enter in your Wheaton Webmail password in the Password: field.

7. Once you select Next and Finish you can then select the Close button on the Internet Account window that is open. It should then connect to the server and bring up a window asking you Would you like to download folders from the mail server you added?. Select Yes.

8. In the window you will see all of the folders you created within Webmail. You should double click on the folders you want to view within Outlook Express..... I would double-click on all of them. Once you have double-clicked on each email folder (and it has placed a message icon next to the folder name) select the OK button.

9. You will now be taken into the main view of Outlook Express and you will notice 2 high level folders in the left hand column, one named Local Folders and another named mail2.wheatonma.edu. All of the folders and email messages that live under the Local Folders area have been downloaded onto your local hard drive, this means you can access them even if the computer is not connected to the Internet. Any emails that live under the mail2.wheatonma.edu area are on the server and once your Wheaton email account gets removed you will no longer see them.

10. What you want to do now is for every folder you have underneath the mail2.wheatonma.edu area you want to create that folder underneath the Local Folders area as an empty folder. If you have a folder underneath mail2.wheatonma.edu named Friends, right mouse click on Local Folders and select New Folder then type in Friends and hit OK. You will notice that the new folder Friends was created underneath the Local Folders area. Now go into the Friends folder under mail2.wheatonama.edu and click on one message to highlight it then press ctrl + a. When you press these 2 buttons at the same time it will highlight all of the messages in the folder. Next, select the Edit menu at the top and select Move to folder.... In the window that appears, highlight the empty Friends folder underneath Local Folders and select the OK button. It will go through each mail message and move it to the local Friends folder. Once you do this for every folder located underneath the mail2.wheatonma.edu area you should be all set.

MacOSX User Instructions

1. Open /Applications/Mail
2. If you have no account you may get a dialogue box telling you you have no account and click continue to setup. Or you may just get a Welcome box asking for your info. Simply follow the instructions, and use the info below to fill in the fields:


Account Type: IMAP
Full Name: whatever you want to call the account
e-mail address: Username@wheatonma.edu
Incoming Mail Server: mail2.wheatonma.edu
Outgoing Mail Server: outbound.wheatonma.edu (or you may have to use the one
from your ISP, like smtp.comcast.net)
Username: your W... number
Password: whatever your webmail password is
