Entering events
Anyone can enter events for the calendar by going to the main calendar page (http://www.wheatoncollege.edu/calendar/) and choosing "Add an event" from the left menu. The event form contains instructions for filling in your event information. After you click on the "Submit" button, your event will go to the main calendar editor for copy editing and approval. Once your event is approved, it will appear on the calendar.
Calendar codes
Events in the Wheaton calendar also appear in many separate special-interest calendars on the Wheaton Web site. You can mark an event so that it appears in your calendar by entering your calendar code in the Calendar box on the event entry form. Calendar codes always end with a semicolon, for example, "Arts;" An event may have several calendar codes, one after another: "Main;Arts;Planning;" If you need to know what calendar codes are available, contact David Caldwell or Colleen Wheeler.
Edit calendars
Calendar owners may edit events that have been submitted to their calendars. You will need a username and password -- contact David Caldwell or Colleen Wheeler.
Log in
(For calendar owners.) Start Internet Explorer (Netscape will not work properly). Go to http://www.wheatoncollege.edu:8080/editor/calendar/frames. You will get the calendar editing page. The page has three areas: on the left is the control area, on the top right is an area for a list of events, and on the bottom right is the event editing area.
In the narrow left area, enter your user name and password, and choose "Submit". You will see a list of actions: click on the button for "Calendar management" then go to the bottom of the panel and choose "Submit." The calendar editing control panel will appear.
Choose events to edit
In the control panel you can select a range of dates and a calendar to edit. You must also select whether you want to edit "approved" events (ones that already appear on the calendar) or "unapproved" events (ones that have not yet been approved by the main calendar editor). Choose the "Go" button.
If any events match your selection, they will appear in a list in the top right panel. There will be a scroll bar on the far right to move through the list. You can also drag the bottom edge of the listing panel (with your mouse) to see more of the list. Each event will have action buttons to the right of the listing. You can use these buttons to work with your events.
Edit
If you choose the "Edit" button next to an event, the event information will appear in the bottom panel. You can make any changes then choose the "Submit Event to Wheaton Calendar" button at the bottom of the editing form.
Delete
If you choose the "Delete" button next to an event, the event will be immediately deleted from all calendars. Please do not delete events unless you originally entered them yourself. You can prevent an event from appearing on your calendar (without deleting it from the main Wheaton calendar) by removing your calendar code from the Calendar field on the edit form.
Dupe
Sometimes you want to repeat the same event information on two or more days, for example, for a play with multiple performances. Find your event in the edit listing (top panel) then choose the "Dupe" button. A copy of your event will appear in the editing panel. Make any changes (for instance, the date) then choose the "Submit Event to Wheaton Calendar" button at the bottom of the editing form. This new event will have to go to the main calendar editor for approval as usual before it will appear in the calendar.
Publishing your calendar
Your calendar on the web wil not be updated until you "re-publish" your calendar. In the middle of the control panel is a section titled "Publish Calendars". Choose your calendar from the pull-down menu, then choose "Go". Be patient -- it may take a while. You will get a message in the top panel when your calendar has been published.
Locks
Occasionally after you select a calendar and date range in the control panel (and choose "Go") your events will appear in the listing panel (top right) without any action buttons. The calendar editing system locks events that are being edited to prevent two people from editing the same event at the same time. Wait a full minute and choose "Go" again. If you still get no action buttons, come back later -- someone is editing your events.
