| Summer | Beging to recruit reunion committee members. Forward list of addresses, phone numbers and e-mail addresses of committee members to the Office of Alumnae/i Relations & Annual Giving by August 31. Committee members will be invited to attend the Alumnae/i Leadership Conference (ALC) in October. |
| Oct./November | Attend ALC on October 19 and 20, specifically the Reunion Workshop Saturday October 20. Class Secretary to mention reunion plans in the Wheaton Quarterly class notes. (See Resources page Class Notes deadlines and word limits.) Create initial list of class program ideas and assign specific jobs. Be sure all committee members understand their responsibilities. Write a Reunion Class Officers' Letter to classmates and send to Office of Alumnae/i Relations & Annual Giving for printing and mailing by November 9, 2007. This letter is often the responsibility of the Class President, but should be supported by the class officer team. This is an important mailing which spells out initial plans for class reunion activities. Any survey or questionnaire for a Class Letter or memory book should be included in this letter. (Note: some classes may prefer to use e-mail as a primary means of communicating with classmates. Please be sure to discuss this with your staff contact.) Create or update your class Web page. Use this tool to communicate program updates and provide a "who's coming" list in the weeks prior to the weekend. (See Resources page for Creating a Class Web Page) |
| Nov./December | Reunion Class Officers‚ Letter will be mailed and will include an attendance postcard. The postcard asks each alumna/us to indicate whether s/he definitely plans to attend reunion, cannot attend reunion or might attend reunion. This postcard is then returned to the Reunion Program Chair who can then reach out to those who are undecided about attending. This is not an official registration, but rather an anticipated attendance indicator. The planning for all class-sponsored programs and dinners should be well underway, including ongoing communication with your staff contact. Organize pre-reunion cocktail parties or mini-reunions in the upcoming months to encourage attendance at the big event in May. Often reunion class alumnae/i feel more comfortable attending a smaller gathering before coming back to campus. Class Web master updates the class Web site frequently to encourage multiple visits to the site. Mention reunion in holiday cards. |
| January | Inform your staff contact about class program plans in preparation for February copy deadline for reunion invitation. Determine miscellaneous class expenses and process for collecting dues. January 14 is the deadline to order memorial trees and plaques (memorial trees and plaques are donated in the name of a class or in the memory of a deceased classmate(s); minimum order: $1000; this includes funds for continued maintenance.) |
| February | Classes which want to send a Reflection letter should submit this to the Office of Alumnae/i Relations and Annual Giving by February 1. Class Officers/Class Officer teams extend invitations to faculty, staff and special guests for class cocktail parties and/or class dinners. Final copy of reunion invitation sent to Office of Communications. Only those class programs already communicated to us by the end of January will be included in the reunion invitation mailed to all reunion alumnae/i at the end of March. |
| March | Final Reunion Class Officers‚ Letter due to the Office of Alumnae/i Relations & Annual Giving by March 3. (This letter should highlight final plans for class activities and is written by the Reunion Program Chair on behalf of all class officers or by the Class Officer Team.) Get RSVPs from staff, faculty and special guests invited to attend class cocktail and dinner parties. Forward a list of confirmed guests to your staff contact. The reunion invitation and registration materials are mailed to all reunion class alumnae/i the last week of March. |
| April/May | Classes which want to send a 2nd Reflection Letter should submit this to the Office of Alumnae/i Relations & Annual Giving by April 1. Complete and return Reunion Class Needs Survey by April 7. Meet with Reunion Program Committee to "walk through" program and assign responsibility for last-minute details. Make follow-up phone calls to classmates who indicated they were attending but have not yet sent in their reservation form. (The "Look Who's Coming" page is updated by the Office of Alumnae/i Relations & Annual Giving at least twice a week and provides the most current registration list.) Housing assignments are made the Saturday before Reunion and are determined by the number of classmates and guests registered by the final deadline, the number of available spaces in each residence hall, and individual special needs (e.g., first-floor accommodations.) |
